ORGANIZATIONAL CONTEXT This position is based in Rome Italy and reports to the finance associate.
THE ROLE ACCOUNTABILITIES/RESPONSIBILITIES.
1.
Payroll activities (regular and off-cycle) a.
Review staff recoveries related interfaces b.
Set up payroll recoveries where appropriate c.
Review HR upstream activities such as IT15 and IT45 d.
Verify payroll results e.
Manage BI f.
Manage Corporate Payroll Payment Authorizations (MPO) including preliminary verification reconcile with posting for clearance generate PDF send out g.
Manage Corporate Payroll Payment Authorizations (UNDP) park journal vouchers for UNDP fees prepare Service Request Forms (SRF) for Chiefs signature send out g.
Review off-cycle payroll requests h.
Reconcile off-cycle requests received/ processed follow up with HR if necessary including requests with wrong dates i.
Manage Corporate Payroll Payment Authorizations (MPA) reconcile with posting for clearance generate PDF send out j.
Send e-payment advice k.
Monitor open items under the vendor accounts and UNDP GL and follow up 2.
Third party payments (UGSS PSA UNDP) a.
Analyse the payroll and finance data prepare a payment request and ensure timely payment on due date b.
Reconcile the UNDP report and GL posting identify carry-over cases park a journal voucher clear GL prepare a payment request for immediate payment 3.
Temporary Total Disablement (TTD) a.
Review the employee category TTD record the concerned funding code and if there is any outstanding TTD advance and park a JV 4.
Communications on the insurance reimbursement on behalf of the CO and its monitoring a.
Change a journal voucher to reflect the concerned country office for easy tracking b.
Communicate with the CO c.
Monitor the treasury clearing account 5.
Administrative support to the Branch a.
Arrange duty travels b.
Support newcomers for setting up a workstation and various accesses 6.
