For every child, the right to answers UNICEF Innocenti - Global Office of Research and Foresight holds annual conferences such as Leading Minds, Partner Days, and other sporadic events in Florence, Italy.
The first conference was held in .
Each conference identifies an important contemporary subject selected as one of the most pressing issues facing the future of childhood.
The conference provides the opportunity to explore and deepen understanding of the topic, raise awareness of issues which need more attention, and outline the next steps to be addressed by UNICEF and partners.
These conferences bring together some of the world’s leading thinkers – scholars, scientists, innovators, influencers, philanthropists, governments and young people – to discuss new evidence, pose bold questions, identify even bolder answers to current and future challenges, and create and catalyze shared valued partnerships.
How can you make a difference? Under the overall guidance of the Convening Associate, the consultant will perform the following tasks.
An initial planning meeting (Design Incubator) takes place in Florence a few months before the event dates.
The purpose of this meeting was to determine the type of production required.
Additional planning meetings between UNICEF and the vendor will follow.
These meetings will take place in person with some possible on-line participants.
The successful vendor will be requested to provide services in three areas.
creative consultancy services; logistics; and production as described below.
Creative consultancy services on pre-production planning for the days (from 1 to 5 days) of the event including.
- Propose the set-up of the meeting rooms based on event format, theme, and audience journey before and during the event.
- Agreement on lighting, visual FX, and ambient sound.
- Advice on at-event experiences that are unexpected, memorable and on-theme.
- Participation in coordination meetings, weekly or bi-weekly until the event date.
Logistics Support The vendor is expected to provide the following.
- design set-up of meeting rooms, event venues and submit the plan to the Convening unit for approval.
- location scouting, when requested.
- provide a list of suitable suppliers, request initial quotations, propose a budget cost for each service needed.
- take agreements for time and place of deliverables with various suppliers.
- if requested, ask for quotations to caterings and restaurants.
- make sure that all choices proposed will respect the sustainability criteria.
Implementation phase.
- logistical and organizational support in the areas of furnishings for the duration of the event.
- liaison with selected suppliers for the areas listed above.
- liaison with other Florence-based vendors or authorities as required.
- room and audio visual set up to the extent that it is not already provided by UNICEF.

Furnishing Source and manage the furnishing company.
The rental of room furnishings is required for the setting up of the main event room and breakout rooms.
For expense purposes, the vendor should pay attention to speakers’ chairs as well as other furnishings to ensure a comfortable environment.
The vendor will be responsible for.
- Ensuring creative assets/content to be played are all received and tested.
- Sound-checks and set up in the venue from the day preceding the event.
- All third-party vendor management.

Education.
Educated to at least Bachelor’s degree level.
Work Experience.
At least 4 years demonstrable experience of undertaking Event management in the area of Florence (Italy).
Fluency in English and Italian is essential.
Strong interpersonal skills including developing and maintaining collaborative relationships with internal and external partner Strong organizational skills – the ability to organize own work with limited supervision according to deadlines and to organize and monitor the work of others.
Ability to work in a multi-cultural environment.
